IRS issues annual W-4 reminder

(Nov. 23, 2009) The IRS (Internal Revenue Service) requires employers to remind their employees* annually to review and make any necessary changes to their W-4 (Employee’s Withholding Allowance Certificate). This review will help you determine if your filing status and/or number of withholding allowances will need to change for the new tax year. 

So you might want to review your W-4 tax status in the tax data box on your pay advice or payroll warrant, upper right hand corner. You can access your pay advice using the myCU.edu portal.

ISIS - Integrated Student Information System to premiere Oct. 23

(Oct. 16, 2009) As the University of Colorado Systemwide project to replace the Student Information System (SIS) moves forward, the UC Denver project office is presenting a series of Town Hall meetings and demonstrations.
Plan to attend at the Anschutz Medical Campus, Friday, Oct. 23, 2-3:30 p.m.;
Ed 2 North–P28-1103. It was a packed house for the first session held on the Downtown Campus Oct. 14.

Participants get a sneek peek at the new Integrated Student Information System (ISIS). Project members are available to show the new look of ISIS, while discussing the similarities and differences from SIS. You'll hear about new terminology, academic structure and campus shared data. No registration is required. We encourage you to share this information with anyone that would be interested in information about the project and the new ISIS. 19th Avenue closed at Ignacio lot and Scranton Street

(Sept. 18, 2009) Beginning at 7 a.m. Monday, Sept. 28th, and running through 5 p.m. Friday, Oct. 9, 19th Avenue will be closed between the entrance to the Ignacio Parking Lot and Scranton Street for construction of a new underground electrical duct bank that will serve the new Pharmaceutical Sciences Building.

Detour signs will be set up at 19th and Racine Street on the west, and 19th. and Uvalda Court on the east. Local traffic only will be allowed to access the docks at RC2, and the entrance for the Breckenridge and Aspen lots from the west. RC1, the Ignacio Lot, the Building 500 dock, the Education 2 dock and the Frisco Lot will be accessible from the east. Here’s a map of the detour.

Coleman Institute call for conference abstracts and posters by Oct. 5

(Sept. 11, 2009) The University of Colorado's Coleman Institute for Cognitive Disabilities invites research and demonstration poster session participants for its Ninth Annual Conference, Nov. 5, 2009 at The Westin Hotel, Westminster, Colo. Please send a one-page abstract or statement describing your work and indicate how it is aligned with cognitive disability. Abstracts are due Oct. 5 and should be e-mailed to MaryEllen.Morse@cu.edu. Expect notification of acceptance by Oct. 19. There is no fee for the conference.

UC Denver police assisting military training July 23

(July 21, 2009) On July 23, the University of Colorado Denver Police Department is assisting the Colorado Army National Guard Aviation Battalion from Buckley Air Force Base with their emergency response exercise as part of their annual training.

The CANG will be landing military helicopters in the parade grounds sometime during the day. The University Police Department will be on scene to ensure the safety of the campus and minimize any disruption to our campus community.

SIS replacement gets new name – ISIS

(July 20, 2009) There is a new name for our new Student Informations System (SIS)--Integrated Student Information System, or ISIS for short. This new name encompasses Oracle’s Campus Solutions (Admissions, Student Records, Financial Aid and Student Financials) while integrating Customer Resource Management (CRM), Document Management, Degree Audit (DARS), Data Warehouse, as well as the portal.

The first piece of ISIS will be going live on Aug. 8, 2009. This will include Admissions and Recruitment, along with a prospective student portal. Recruitment of prospective students will be fully functional in the new system. For the initial go-live, we'll continue to use the current SIS application for Admission, until we cut over to the new format application later this fall.

Medical marijuana hearings on the Auraria Campus July 20

(July 17, 2009) The Colorado Department of Public Health and Environment Medical Marijuana Hearings will be in the Tivoli Commons area on the Auraria Campus 7:30 a.m.-8 p.m. Monday, July 20. This is a public hearing to deliberate about proposed changes to the current Medical Marijuana Laws. There will be amplified sound broadcasting the proceedings to the Tivoli Commons, which is the designated protest area.

Project update for Building 500 water quality

(July 17, 2009) In late 2007, elevated levels of lead and copper were discovered in the Building 500 drinking water on Anschutz Medical Campus. Facilities Management responded by providing bottled drinking water, posting notifications advising occupants not to consume the water and developing a comprehensive plan to resolve the water quality issues. Old water lines were replaced with new pipe and unnecessary fixtures were removed. Facilities recently completed the super-chlorination and system flushing and the water was tested and found to be bacteria free.

The final phase of the project consists of the replacement of all of the outdated drinking fountains in the building and testing the system for lead and copper. This phase is expected to be completed around the beginning of September. Facilities Management will continue to provide bottled water until all testing has been completed and we are assured the tap water is safe.

Denver Performing Arts parking no long accepting ‘scripts’

(July 10, 2009) UC Denver departments that have purchased parking validation “scripts” for the downtown Denver Performing Arts Complex Parking Garage (DPAC) located across Arapahoe Street from the Lawrence Street Center will need to use another process.

On July 2, the University of Colorado Denver was notified by the DPAC Parking Management that effective immediately the DPAC parking garage will no longer accept the validation scripts and the validation booklets that have been purchased and used for visitor parking in the DPAC garage. The DPAC operators recently installed new revenue control equipment that makes any parking scripts or validations booklets purchased prior to July 7 invalid.

The City of Denver has agreed to implement a new hourly validation system that will allow the university to continue using the DPAC parking garage in much the same fashion as in the past. Therefore, if you have any of the old validation scripts still in stock please contact Kerrie Bathje, Manager of Parking and Transportation, at (303)724-0049 prior to Aug. 1 to exchange your old scripts for an equal amount of new validations that are compatible with DPAC upgraded parking revenue control system.

Montview Boulevard emergency road closure extended

(July 9, 2009) The emergency closure of Montview Boulevard at Anschutz Medical Campus has been extended to July 24, 2009. The area being closed has developed severe sink holes. Repairs will be initiated as quickly as possible by a contractor under the authority of the Colorado Science + Technology Park at Fitzsimons.

Limited access to Henderson Parking Garage until Aug. 31

(July 17, 2009) From Thursday, July 23, through Monday, Aug. 31, 2009, access to the Henderson Parking Garage will be from Montview Blvd. only, due to the construction of utilities to support the new Pharmacy & Pharmaceutical Sciences Building.  While this construction is occurring, vehicular access to and from 19th Avenue on the east side of the Henderson Parking Garage will be closed.  A map of the closure can be viewed at: http://www.uchsc.edu/projects/documents/trafctrl.pdf

New VPN service effective July 2

(June 24, 2009) Information Technology (IT) Services reminds UC Denver remote network users that a new VPN service begins July 2, 2009. This change is being activated because the old VPN service no longer is supported by the vendor. 

New security services provider chosen for downtown

(June 29, 2009) UC Denver has contracted with the Allied Barton Company as the new on-site security services provider at UC Denver's downtown Denver facilities effective July 10. This service includes the Lawrence Street Center (1380 Lawrence), CU Denver/Dravo Building (1250 14th Street) and Lawrence Court (1475 Lawrence). Allied Barton is working with the current provider, U.S. Security, to transition the employment of some current on-site security personnel to the new company.

While some personnel changes may occur, UC Denver Police Sgt. Steve Smidt says "The only noticeable difference may be that the security staff will wear white shirts rather than grey. But otherwise, faculty, students and staff who work in or frequent these locations will not see any changes in the services provided." Security personnel will continue to monitor our facilities, check for locked doors in our buildings and accompany individuals to UC Denver vehicle parking areas.

You might recall that UC Denver also partnered with the Auraria Campus Police Department last year to support overall safety and security at our downtown Denver locations situated across Speer Boulevard from the Auraria Campus. As a result of this partnership, calls placed from a UC Denver phone in a downtown Denver location will be routed to the Auraria Campus Police, calls dialed from mobile phones are routed to the nearest municipal jurisdiction. Remember, in any life-threatening emergency, do not hesitate, dial 9-1-1 immediately.

Man arrested at Anschutz for theft; keep your belongings safe

(June 18, 2009) Campus police on the Anschutz Medical Campus arrested a man who allegedly stole multiple wallets. By reviewing security videos, officers were able to identify the suspect.

Campus police officers are asking that people become more aware of the security of their personal property. When leaving the office, please store purses, wallets and any other valuables under desks, in overhead cupboards, or cabinet drawers. Also, remember not leave valuables in cars and lock all car doors.

Web site offers weekly updates for American Recovery and Reinvestment Act

(June 11, 2009) The Web site for the Center for Education Policy Analysis has become the go-to place for anyone interested in tracking or obtaining federal stimulus money under the "Race to the Top" program for education.

Artemio Cardenas, who is completing an Accelerated Masters in Public Administration in the School of Public Affairs this summer, is monitoring the rule-making and application process for the program, which is called the American Recovery and Reinvestment Act (ARRA).

He is producing weekly updates for educators, policymakers and potential applicants for what is expected to be more than $1 billion in funds coming to Colorado. Montview Boulevard emergency road closure

(June 9, 2009) An emergency closure of Montview Boulevard at Anschutz Medical Campus will be effective as of 7 a.m. on Wednesday, June 10. The area being closed has developed severe sink holes. Repairs will be initiated as quickly as possible by a contractor under the authority of the Colorado Science + Technology Park at Fitzsimons. The closure is expected to remain in effect until approximately July 3.

The detour route can be viewed at http://www.uchsc.edu/projects/amc/sitelogistics/montviewclosing.pdf.  Detour begins at Montview Boulevard and Quentin Street on the west and Montview Boulevard and Victor Street on the east. From the west, local traffic will be allowed onto Montview Boulevard for access only to the Aspen, Breckenridge, and Henderson parking lots, the library dock, the Bioscience Park Center (FRA building) and the Golf Course.

The Henderson access road on the east side of the Henderson Parking Garage will be open for Henderson Permit holders only. The Henderson access road will be one way traffic north bound to enter the garage from midnight to noon each day during the repairs. At that time the road will be one-way traffic south bound to exit the garage. Exits north from the Henderson garage onto Montview Boulevard will be left turn only.

The completion of this emergency repair work is necessary for the safety of the personnel at the Anschutz Medical Campus.

University issues travel advisory for Canada, Mexico, Caribbean and Bermuda islands

(June 1, 2009) All university travelers to Canada, Mexico, the islands of the Caribbean and Bermuda are advised that the Western Hemisphere Travel Initiative (WHTI) of the Department of Homeland Security now requires all U.S. citizens have WHTI-compliant documents for land, air and sea travel to and from these Western Hemisphere nations. This directive is not related to the H1N1 flu threat, but rather to official document changes impacting all U.S. travelers crossing borders between the U.S., Canada, Mexico and the islands of the Caribbean and Bermuda. The risk of traveling without the newly required documents may create difficulty returning to the U.S. from any of these nations.

WHTI-compliant documents include a U.S. Passport, a trusted-traveler card or an enhanced driver's license. The U.S. Passport and the passport card are issued by the Department of State. The trusted-traveler card is issued by the Department of Homeland Security. WHTI-compliant driver's licenses are issued only in select states. The State of Colorado does not issue a WHTI-compliant driver's license. UC Denver's Office of International Affairs strongly recommends the U.S. Passport as it is the only document admissible for land, air and sea travel.

The other documents (passport card, trusted-traveler card and enhanced driver's license) are valid only for land and sea border crossings between WHTI nations. For more information we recommend these web sites: http//www.getyouhome.gov and http//www.travel.state.gov.

University lifts flu-related travel restriction

(May 29, 2009) In connection with the recent H1N1 flu threat, UC Denver lifted travel restrictions pertaining to University-sponsored travel to Mexico. While this flu is still being reported in Mexico, the U.S. Centers for Disease Control (CDC) has downgraded previous travel warnings against travel in Mexico. The CDC continues to recommend that travelers visiting Mexico take steps to protect themselves from getting H1N1 flu. Travelers at high risk for complications from any form of influenza should discuss risks and benefits of travel with their physicians. The CDC web site contains continuous updates and helpful information pertaining to H1N1 for all international travelers. The university recommends that you consult this information prior to and during your travel to any international destination: http://www.cdc.gov/.

IT Services launches new data protection service

(May 8, 2009) As the use of digital data and applications continues to proliferate within UC Denver, addressing the vulnerability of sensitive and private data has become a critical business need for the university. Data leakage concerning personal, financial or patient information can be damaging to UC Denver’s reputation and can  have financial repercussions, should the data lost be covered under federal regulations.

To help ensure the security of university data, IT Services(ITS) is launching a new data leakage prevention service called Vericept on Tuesday, May 12. The Vericept system will detect and alert when protected and/or sensitive data is leaving the UC Denver network without proper protection. This monitoring includes credit card numbers, Protected Health Information (PHI) and Social Security numbers.

Federal regulations and industry best practices require that electronic transmissions containing these types of data be encrypted when the data is being sent across the Internet to organizations that are outside of the UC Denver affiliate network (NJH, TCH, UCH, DH and UPI). This includes e-mails that are sent to personal addresses (e.g., Comcast, AOL, Yahoo or Gmail).  E-mail messages containing protected data that are sent to recipients within the university or within our affiliate network are not required to be encrypted.

Auraria schedules Science Building evacuation test April 28

(April 24, 2009) On Tuesday, April 28, 2009 at 11:30 a.m., contractors working on the Auraria Science Building will be conducting an evacuation and safety test for all workers on this project. This test is to allow the contractors to practice evacuation routes, techniques and procedures. Air horns will be used, so Jacobs would like to make the Auraria Campus community aware that this is procedural test -- not an emergency situation -- when the horns are sounded.

Grading policy has changed

(April 10, 2009) The Uniform Grading Policy was recently changed. The grade notations (IW) and (IF) will no longer be used. Here is a summary of the recent change effective January 2009:

  • Per approval of the faculty at all campuses of the University of Colorado, faculty who elect to award an incomplete grade may only assign an ‘I’ (incomplete) grade, which will convert to an ‘F’ grade at the end of one year maximum if the coursework has not been completed.
  • Faculty will no longer assign grades of IW (incomplete, withdrawal) or ‘IF’ (incomplete, failure) grades.

Helicopter training at Anschutz April 8

(April 8, 2009) This is an informational alert for Wednesday April 8, 2009 on the Anschutz Medical Campus: The Colorado Army National Guard will be landing a helicopter on the Parade Grounds along Quentin Street between E. 19th Place and E. 17th Place. This landing is part of a training exercise taking place with the University of Colorado Denver Police Department, University Hospital and The Children’s Hospital. Staff and visitors should not be alarmed, but if possible please avoid the area near the Parade Grounds.

Auraria Campus gas line work continues March 30-31

(March 27, 2009) Xcel Energy will be continuing work on the gas line upgrade for the Science Building Addition on Monday and Tuesday of next week, March 30th & 31st. During this time, the sidewalk north of the existing Science Building will be closed in order for Xcel to complete the backfill work they were not able to finish due to the weather conditions of Thursday and Friday. The gas line serving the Science Building will be shut down in order for Xcel to complete their work, however Xcel will be providing temporary gas service and operations inside the Science building will not be affected.

Your responsibility in preventing sexual harassment

(March 16, 2009) Sexual harassment in the workplace is bad news for everyone. At UC Denver, we all benefit when we work together to ensure that employees have a safe, inclusive and motivating environment that’s free from sexual harassment. Knowing what constitutes sexual harrassment is an important step toward prevention.

Chancellor M. Roy Wilson has mandated that all faculty and staff -- classified staff as well as exempt-professional staff -- must participate in sexual harrassment training. It's focus is information and resources to enable our faculty and staff to recognize behaviors and situations that constitute sexual harassment.

Many of you might have already satisfied this requirement. If the Human Resources Management System (HRMS) lists you as having taken this course since July 2000, you have met the training requirement and do not need to take it again. Please review your training summary in the CU portal (https://my.cu.edu). Please log in using your same login and password that you use to log into your computer or to check your UC Denver e-mail. Once logged in:

• click on My.Training tab

• click on “click here for SkillPort”

• click on “CU Learning Programs” on the left side under “My Shortcuts”; list of classes will appear on right side

• scroll to the bottom for “Preventing Sexual Harassment”

• click on course then “play.”

Service will better secure HIPAA information in e-mail

(March 6, 2009) Faculty, staff and students at UC Denver often work with private information that is regulated, such as patient health information, student records, credit cards, or Social Security Numbers, and requires extra care to guard against unauthorized disclosure. The electronic transmission, storage, or duplication of this class of information must strictly be for business purposes and only to the extent of what is essential to business processes.

UC Denver IT Services has launched a new service that will aid in the identification of unprotected e-mails that contain sensitive information attempting to be transmitted off-site. Although no disruption of e-mail flow will occur, IT Services will identify and assist individuals who transmit sensitive information without properly protecting it. Please visit http://administration.ucdenver.edu/admin/its/securemail.htm to learn more about the UC Denver 21 policies discussed and how the encryptions works to protect sensitive University information.

Often when policy and regulations relating to the transmission of private data are violated on the UC Denver campus it is through the use of e-mail. Private information used in the course of business duties should NOT be sent to a personal Internet e-mail account such as Gmail or hotmail. If a business need exists to e-mail this information outside of the trusted affiliate e-mail network (Children's Hospital, University Hospital, UPI and National Jewish) then it should be encrypted. Typing the word "ENCRYPT" in the e-mail subject line or pressing the blue "low priority" button within Microsoft Outlook will protect your e-mail and ensure compliance with UC Denver policies and current regulatory governance on secure data transmission.

Complete sexual harassment training promptly

(Feb. 18, 2009) All UC Denver faculty and staff must complete training designed to raise awareness and understanding of sexual harassment in the workplace. Last fall, our administration announced that this mandatory training needed to be completed by Jan. 20, 2009. But many employees have not yet complied. This training is mandatory for all employees including classified staff, exempt-professional staff and faculty.

To confirm whether or not you have satisfied this requirement, you can check the Human Resources Management System (HRMS) by reviewing your personal training summary in the MY.TRAINING section at https://my.cu.edu or contact your department administrator to determine whether or not you have taken this course.

This training is intended to provide information and resources which will enable our faculty and staff to recognize behaviors and situations that constitute sexual harassment. All new employees also will be required to complete this training within 90 days of being hired.

Clearing up confusion regarding UC Denver ID badges

(Feb. 11, 2009) Whenever change is afoot there can be opportunities for confusion. Such a situation developed around issuing new ID badges for UC Denver faculty and staff -- particularly downtown.

Here's the real scoop. Staff and faculty at the Downtown Denver campus are not required to replace current university ID badges. But Downtown Denver personnel who do spend time at our Anschutz Medical Campus (AMC) in Aurora should consider getting a new ID badge. That's because badges are required to be worn at AMC, and a single badge design is being phased in at that location.

In the meantime, new students and new employees on both campuses will receive the new badges. Downtown Denver staff and faculty who wish to have a new badge may obtain one at the Tivoli badging office. You will receive instructions there for having the badge coded for building access at Auraria and/or the Lawrence Street buildings. Anyone needing AMC security access can have thier badge coded in the badging office in Building 500 at AMC.

Personnel at the Anschutz Medical Campus are being asked to replace their old ID badge with a new one. You can call for an appointment 303-724-0399, call to see if they are busy or, when convenient, just drop in. UC Denver Staff Council seeking nominations for upcoming election

Web sites offer SIS project updates

(Feb. 5, 2009) You now can get informative updates on the status of the university's SIS (Student Information Services)project, also known as the MetamorphoSIS Project. Here are links that you'll want to bookmark for future reference:

You'll find newsletters posted the last Tuesday of each month (see News and Updates on the home page). January’s issue includes an overview of the SIS project and timeline through Fall 2010. February’s issue (available Feb. 28) will provide an overview of the system testing planned to begin in March.

Emergency response expanded for UC Denver downtown facilities

(Feb. 4, 2009) Effective immediately, emergency 9-1-1 calls placed from office telephones in UC Denver's Downtown Denver buildings (Lawrence Street Center, CU Denver Building and Lawrence Court) will be answered by the Auraria Campus Police Department. This service is a result of an agreement between the UC Denver Police Department and the Auraria Campus Police Department. The partnership was formed to provide the best possible emergency response for students, faculty and staff in downtown facilities managed by the University.

Again, Auraria Police will answer 9-1-1 calls when they are dialed using a university office phone. It is possible that the Auraria Police Department also will call upon the Denver Police Department to assist. You also should be aware that all 9-1-1 calls dialed from a cell phone when in a UC Denver or Auraria Campus building automatically will be directed to the Denver Police Department.

Remember, in an emergency, do not hesitate, dial 9-1-1 for assistance. For non-emergency assistance, call Auraria Police at 303-556-5000.

Alert regarding possible 'phishing'

(Jan. 29, 2009) Hackers recently compromised databases at Monster.com and USAJobs.gov. It appears that contact and account data were taken, including user IDs and passwords, e-mail addresses, names, phone numbers, and some basic demographic data. The information accessed does not include resumes nor sensitive data such as social security numbers or personal financial data.

Monster and USAJobs suggest that users of their system proactively change their passwords, just to be safe. These organizations, as well as the UC Denver IT Services Security Operations Group, anticipate that haskers may send phishing messages using the data obtained. USAJobs indicates that it never sends unsolicited e-mail asking you to confirm your username and password, nor will Monster ask you to download any software, "tool" or "access agreement" in order to use your USAJobs account.

If you receive any such phishing messages please forward them to spam.admin@ucdenver.edu as an attachment and put “PHISHING” in the subject line. You can find out more information:

VPN migration delayed

(Jan. 30, 2009) Information Technology Services (ITS) announced a delay in the new VPN process for faculty, staff and students. Originally scheduled to go into effect Feb. 1, the requirement for registration for the new VPN Process has been extended to July 1, 2009.

For users that have had their domain accounts migrated to the new University domain, you may now go ahead and use the new VPN system. To do so, go to https://admin.cudenver.edu/vpn/ to register your account. If you have already registered at this location there is no reason to re-register. You must read and accept the Appropriate Use Policy and Home Wireless Configuration Standards in order to be approved and processed for your new account. Once you have agreed to these policies, you will then be forwarded to a page with a downloadable Cisco VPN client and the new configurations for access.

Please complete the registration process prior to July 1, 2009, as the current hardware is at end of life and will be retired due to non-support from our vendor. For users that have not been migrated to the new University domain, please continue to use the existing system until your account has been migrated. School of Public Health on the move to Anschutz

(Jan. 5, 2009) The Colorado School of Public Health is moving from the UC Denver 9th Avenue Campus to the Anschutz Medical Campus on Monday, Jan. 5, and Tuesday, Jan. 6. As with a move this large there will be a disruption to school operations. Regular school operations will resume 9 a.m. Wednesday, Jan. 7.
