Refunds FAQ

Refunds are issued only when there is a valid credit balance on your student account. This may result from:

    • Course enrollment changes
    • Overpayments
    • Financial aid disbursements

Refunds are processed based on your account activity at the time of issuance.

Refunds are issued in one of two ways:

    • Direct Deposit (recommended for fastest delivery)
    • Paper Check (if direct deposit is not set up)
    • Credit/Debit Card Refund (if you paid via credit/debit card)
    1. Log into UCDAccess
    2. Go to Student Center > Student Account
    3. Click Direct Deposit Student Refunds
    4. Read and accept the authorization agreement
    5. Click Add Bank Account Details and enter your information

💡 Note: This is separate from payroll direct deposit. If you work for CU, you must set up both.

    • Direct Deposit: Typically 2–3 business days after processing
    • Paper Checks: Processed on Tuesdays and Thursdays and mailed to your address on file

If your check is lost in the mail:

    • Wait 14 business days before requesting a cancellation
    • Then contact the Bursar’s Office at 📧 bursar@ucdenver.edu

Yes. You may use any U.S. banking institution. You can update your direct deposit information anytime through UCDAccess.

During the loan application process, parents choose how refunds are handled:

    • If designated for the student, the refund is processed like any other student refund
    • If designated for the parent, the refund is mailed directly to the parent and is not eligible for direct deposit

If you paid your bill with a credit card, any refund will go back to that same card used to make the payment.

    Please note:

    • The 2.85% credit card service fee charged by Nelnet Campus Commerce is nonrefundable.
    • Credit card refunds are processed weekly, after the semester’s first payment due date.
    • This refund process is required by our agreements with credit card companies, which state that refunds must go to the original payment method.

Interdepartmental Invoice (IN) FAQs for Faculty & Staff

An IN is used to transfer funds between CU departments for services or payments, including student-related expenses. It ensures accurate internal accounting and supports compliance with university financial policies.

All payments must follow the Student Pay Matrix to post in accordance with the CU PSC Procedural Statement: Student Payments.

    Learn more about Interdepartmental Invoices

An Itemtype is a unique code in Campus Solutions that identifies a specific type of financial transaction—such as a scholarship, fellowship, or departmental award—on a student’s account.

    Itemtypes:

    • Determine how funds are applied to student accounts
    • Are linked to Speedtypes/Chartfields in the General Ledger
    • Ensure proper accounting and reporting across university systems

    Itemtypes are required to:

    • Route payments correctly to student accounts
    • Ensure the transaction posts to the correct GL account
    • Maintain compliance with financial aid and tax regulations

Without an Itemtype, payments cannot be processed through Campus Solutions (CU-SIS).

    • Awards, Prizes, and Rewards: Non-employment recognition
    • Employment (Hourly or Contract): Paid through HR job codes
    • Fellowships and Traineeships: Stipends with no service requirement
    • Grants and Scholarships: Processed via Financial Aid using Itemtypes

Departments can request a new Itemtype by submitting a request through the Interdepartmental Invoice Request Form and Payment Item Type Request Form.

Yes. Monthly Zoom training sessions are held on the third Thursday of each month at 1:00 PM MST.

Departmental Payments/Deposits FAQs for Faculty & Staff

A Faculty/Staff Departmental Payment is used when an employee needs to deposit funds collected into a university speedtype and account, repay the university, or reimburse their department for an expense that should not have been charged to a university card or funding source (for example, an accidental personal purchase on a P‑Card or Travel Card). These payments are processed through the campus Bursar Office and credited back to the appropriate department or speedtype using university cash receipt procedures.

The Cash Receipt (CR) form is used to deposit funds into an appropriate SpeedType. It applies to reimbursement and repayment situations involving:

    • Cash (paper or coin currency)
    • Checks and credit card checks
    • Traveler’s checks
    • Money orders
    • Credit/debit card receipts
    • Wire transfers

The form documents the deposit and ensures the funds are applied correctly for audit and reconciliation purposes.

    Access the form here:
Cash Receipt Form – Office of the University Controller

    It is required when:

    • Depositing funds to a university speedtype
    • An employee reimburses the university for a personal or accidental charge
    • Funds are being credited back to a department or speedtype
    • Documentation is needed for audit and reconciliation purposes

The validated Cash Receipt Form must be retained and, when applicable, attached to the Concur expense report.

If you accidentally use your Procurement Card (P‑Card) or CU Travel Card for a personal expense, you are required to reimburse the university promptly.
Common examples include personal meals, personal travel costs, registration fees, or retail purchases.

Steps to repay an accidental P‑Card or Travel Card charge:

    1. Submit the expense in Concur and mark it as a personal charge.
    2. Reimburse the university by submitting a payment through the Bursar Office via Cash or Check, or online via the CU Online Storefront – Faculty/Staff Departmental Payments.
      1. If payment is submitted via the CU Online Storefront, the transaction requires a Cash Receipt Form to be submitted via email to bursar@ucdenver.edu
    3. Ensure the payment is documented using a Cash Receipt Form, which is validated by the Bursar’s Office and attached to the Concur expense report.
    4. Procurement Card personal charges are reimbursed to account code 013109.
    5. Personal Charges should not be charged to a restricted funding source (Fund 30/31).
