Process for External Organizations (Unaffiliated Program Operators)
Organizations that are not affiliated with CU Denver and plan to bring children to campus must complete the registration and approval process in accordance with university policy.
To ensure timely approval, external organizations should follow the steps below.
Getting Started
External organizations are strongly encouraged to first coordinate with a CU Denver department or designated campus contact prior to submitting a registration form.
Your campus contact will:
- Serve as your primary university liaison
- Help ensure all requirements are understood and completed
- Support the review and approval process
Registration Steps
1. Identify a Campus Department or Contact
Before submitting a registration, you must:
- Partner with a CU Denver department or program
- Confirm a designated campus contact who will support your event or program
Programs submitted without an identified campus partner may experience delays.
2. Submit the Registration Form
After confirming your campus contact, complete the Children on Campus Registration Form.
Be prepared to include:
- Program details, dates, and location(s)
- Organization information
- Primary contact information
3. Provide Personnel Information
External organizations must complete the attached Personnel roster worksheet and submit it to youthprograms@ucdenver.edu.
The Personnel roster must include a complete list of all personnel (employees, volunteers, contractors and other individuals) who will interact with minors, including:
- Full names
- Contact information (phone number, email)
- Program roles
This information will be used to conduct the required background checks and is necessary for review and compliance verification.
Background Check Requirements
All individuals working with minors must meet background check requirements.
- Individuals without a current, approved background check through an accepted national registry will be required to complete one.
- Background check coordination will occur as part of the review process.
Unaffiliated Program Operator Responsibilities
The Unaffiliated Program Operator contact must coordinate with the University to ensure compliance, including identifying all personnel, submitting required information, and ensuring all individuals working with minors have completed and approved background checks (or complete one as part of the review process) before participating in any program activities.
Documentation and Compliance
The Program Operator contact will work directly with the campus contact to confirm that all requirements have been completed prior to program approval.
The campus contact is responsible for submitting an attestation confirming receipt and completion of the following:
- Certificate of Insurance from the external organization
- Complete Personnel Roster listing the participants and volunteers working with minors
- Verification of protocol review, including guidelines for appropriate interactions with minors
At a minimum, all personnel must review CU Denver’s expectations for working with minors (e.g., “Do’s and Don’ts” guidance).
Approval
Programs are not considered approved until:
- All required documentation has been submitted
- Background checks (if applicable) are completed
- The campus contact has submitted the required attestations
Early coordination with your campus partner/contact is critical to avoid delays.
